Share your family calendar with your partner, grandparents and babysitter
When you share your family calendar in Familienplaner, you all plan in the same calendar. You invite the other parent, the grandparents or the babysitter by link or QR code, and everyone with an account in your family sees and changes the same events. Anyone who only needs to look gets a calendar link for their own calendar app, and you can bring in the calendar of your club or the bin collection too.
How to share your family calendar
Create an invitation
Whoever manages the family taps “Invite” under “Family” and chooses who the invitation is for: a family member who is already in the calendar, or a “New person”. “Create link” makes the link, along with a QR code.
Send the link or show the QR code
You send the link by messenger or email, or the other person scans the QR code with their phone camera. It is valid for seven days and for one person.
Create an account or sign in
Whoever opens the link creates an account or signs in, with an email address and password or with “Sign in with Google”. After that they belong to your family and see your calendar.
Add children without an account
You add children under “Family” with “Add member” and switch on “Child”. They get a colour and a circle in the calendar, but no account of their own.
Who can do what in the family
Every account in your family sees and changes events, tasks and the shopping list, and reads the forwarded emails in the inbox. There is no read-only role, and there are no private events that others in the family can’t see.
Whoever is allowed to manage the family can also change members, invitations and settings, such as the place for the weather, the family displays and the subscribed calendars. When inviting, you tick “May help manage the family”; later it is “Allow managing” under “Who has access”. That suits the other parent, for example.
Whoever manages the family can take an account’s access away there with “Remove access”; the events and the family member stay. Anyone who was invited and wants to go chooses “Leave family” and then sees their own calendar again. The account the family was created with cannot leave it: if that account is deleted, the family ends, along with its data.
Just looking: in your own calendar app or on the family display
If Grandma only wants to see when the recital is, she doesn’t need an account. In the settings, under “Show the family calendar in other apps (iCal)”, you create a link, for example “Grandma’s iPhone”, copy it with “Copy URL” and add it to her calendar app as a subscription: in Apple Calendar, Google Calendar or Outlook.
The subscription shows your events and birthdays, the birthdays without the year of birth. A recurring event appears there as each single date, from the previous month to 13 months ahead. New events from forwarded emails only arrive there after a quarter of an hour: anything you remove straight after doesn’t reach other people’s calendars at all.
At home, the family can look along on the family display, a tablet without anyone signed in. Tasks can be ticked off there; everything else is read-only.
Bring in other calendars: school, club, bin collection
Many schools, clubs, parishes and councils offer their calendar for subscribing. Look on their website for a link marked ICS or iCal and enter the address under “Subscribe to calendars”. That way the club calendar or your council’s bin collection calendar sits next to your own events, in a colour of its own.
Subscribed events are read-only for you and are updated several times a day. Whoever manages the family can subscribe and remove them; everyone can see the events. Our servers in Frankfurt fetch the address: the calendar’s provider sees our server, not your device.
Signing in with email or with Google
Each person signs in with their own account, with an email address and password or with “Sign in with Google”. What you share is the calendar, not the password.
What Familienplaner doesn’t do when sharing
- There is no two-way sync: in Google, Apple or Outlook the subscription is read-only, and how often the calendar app fetches it again is up to the app.
- Anyone who knows the calendar link can read your events without signing in. Only pass it on to people who should see them; a deleted link can no longer be fetched by anyone.
- The calendar link doesn’t include school or public holidays. You see those in Familienplaner itself and on the family display.
- An invitation link is valid for seven days and for one person. For each further person you create a new one.
- Familienplaner doesn’t send reminders at the moment. Whether your calendar app reminds you of subscribed events depends on the app.
Frequently asked questions about sharing the family calendar
How do I invite the other parent?
Under “Family”, tap “Invite”, tick “May help manage the family” and tap “Create link”. You send the link by messenger or email, or you scan the QR code together. Whoever opens it creates an account or signs in and then sees your calendar.
Do children need an account of their own?
No. Children are family members with a name, a colour and, if you like, a birthday, but without an account. Events and tasks can still be theirs, and on the family display a tap on their name opens their own view.
Can Grandma just look without changing anything?
Yes, in two ways, both without an account: she subscribes to your calendar link in her calendar app, or she looks at the family display when she visits. With an account in your family, on the other hand, she could change everything, because there is no read-only role.
How do I get the family calendar into my iPhone or Google calendar?
In the settings, under “Show the family calendar in other apps (iCal)”, give the link a name and tap “Create link”. Add the copied address as a subscribed calendar in Apple Calendar, Google Calendar or Outlook. New entries appear there once the calendar app fetches the link again.
Can I add our club’s calendar or the bin collection dates?
Yes, if they offer a calendar for subscribing. Whoever manages the family enters the address under “Subscribe to calendars”. The events then appear in your calendar, read-only and updated several times a day. If the subscription is removed, its events disappear from your calendar again.
Are there private events?
No. Whatever is in the family calendar is seen by every account in the family, the forwarded emails too. Anything that only concerns you is better kept in your own calendar; with the calendar link, the family’s events sit right next to it there.
