Your data in Familienplaner: where it is stored and who sees it

Family calendar privacy, for us, means saying openly what happens to your data. Familienplaner runs on servers in Frankfurt am Main, shows no ads and doesn’t sell data. This page explains in plain words what the AI receives, who in the family sees what and how you take your data with you or delete it; what counts is the privacy policy, which follows the GDPR and, for Switzerland, the Swiss FADP.

At a glance

  1. Servers and database in Frankfurt

The server functions run at Vercel in the Frankfurt am Main region, and the database at Neon in the AWS region eu-central-1, also in Frankfurt am Main.

  2. No ads, no selling of data

Familienplaner has no ads and no advertising or tracking cookies, and the website loads no audience measurement services. We don’t sell your data.

  3. Export as ICS, CSV and JSON

In the settings, under “Your data”, you download your events as a calendar file or as a spreadsheet, and everything together as a JSON file.

  4. Delete your account yourself

You delete your account yourself, in the settings with “Delete account”. If you can no longer get in, you can also ask us by email.

Where your data is stored

The website and the app run at Vercel, with the server functions in the Frankfurt am Main region. Events, tasks, family members and forwarded emails are kept in a Neon database that runs in the AWS region eu-central-1, also in Frankfurt am Main.

Forwarded emails first arrive in a mailbox at IONOS in Germany before Familienplaner takes them in. We also send our own emails through IONOS, such as the link for resetting a password.

Vercel and Neon are companies based in the USA. Section 12 of the privacy policy lists every service provider and explains what a transfer to the USA is based on.

What the AI receives

The AI receives what it needs to add entries: for a forwarded email the sender, subject and text, for a quick entry your sentence, and for a photo or PDF in “New entry” the files and the text from the field. On top of that come the names of your family members, so that an event ends up with the right person. Emails, photos and PDF files also take along your family’s language, your notes for the AI and your details about family members, such as a class or club, if you have stored any, and an email the role of its sender if you have assigned the sender, but nothing about other senders. We don’t add other details from your account, such as dates of birth, events or earlier emails.

The analysis takes place in data centres in the EU: by a language model from Anthropic that Amazon Web Services operates, and if that cannot be reached, by a model from OpenAI. OpenAI’s fallback model doesn’t receive photos or PDF files. Only providers that commit to not storing the content after processing and not using it for training are allowed.

On its way to the model, the request is passed on by the Vercel AI Gateway, a service based in the USA that is not tied to a region. We don’t store photos or PDF files; the forwarded email, on the other hand, stays stored with us, so your family can look up where an event came from.

Who in the family sees what

Every account in your family sees what is in the family calendar: events, tasks, the shopping list and the forwarded emails with sender, subject and full text. There are no private events. So only forward emails that everyone with an account in the family may read.

Anyone who looks along without an account, on the family display or through a calendar link, sees events but no emails. A calendar link can be read by whoever knows it, without signing in; you delete a link nobody needs any more in the settings.

What else leaves the servers

Weather: if you enter a place, our servers in Frankfurt request the forecast from the Norwegian Meteorological Institute (MET Norway). The Institute receives the coordinates of the place, rounded to two decimal places, the address of our server and the name of our application, nothing about you or your devices. Without a place there is no weather.

Our server fetches subscribed calendars; their provider sees our server, not your device. If you sign in with Google, Google learns about it; otherwise it doesn’t.

What this page doesn’t promise

  • That Anthropic and OpenAI don’t store content or train with it is a commitment made by the providers. We cannot check it ourselves.
  • The data is stored in the EU, but several service providers are based in the USA. Access from there cannot be ruled out, for example when the website is delivered or during maintenance.
  • Some records remain: Vercel logs each request with its IP address in the server logs, for 30 days at most. Our own usage statistics note, without any content, things like whether an event was added by hand, with a quick entry or from an email (privacy policy, sections 3 and 11).
  • Forwarded emails cannot be deleted one by one in the app; write to us and we will delete a single email. Otherwise they go with the account the family was created with; a copy stays in the mailbox at IONOS until we clean it up.
  • Deleted data remains in the database backups for at most 30 days, until they expire.
  • What counts is the privacy policy. This page sums it up; more about the AI is in section 7 there, and about the service providers in section 12.

Frequently asked questions about privacy

Where are our events stored?

In a Neon database in Frankfurt am Main, in the AWS region eu-central-1. The server functions also run in Frankfurt, at Vercel. Both service providers are companies based in the USA.

Does the AI get my whole mailbox?

No. It only gets the emails you forward to your calendar address, with sender, subject and text, plus the names of your family members, your family’s language and, if stored, your notes for the AI, details such as a class or club and the sender’s role. Your mailbox stays where it is, and Familienplaner doesn’t analyse the attachments of a forwarded email.

Do you sell data or show ads?

Neither. There are no ads and no advertising or tracking cookies. We pass your data on only for the purposes named in the privacy policy, such as to the AI for the analysis; it is not sold.

Who in the family can read the forwarded emails?

Every account that belongs to your family, in the inbox, with sender, subject and full text. The family display and the calendar link show no emails, and children without an account don’t see them there either.

How do I download our data?

In the settings, under “Your data”: your events as a calendar file (ICS) for another calendar or as a spreadsheet (CSV), or all data together as a JSON file. Every account in the family can export what it sees in Familienplaner anyway.

How do I delete our account?

In the settings, with “Delete account”. If you created the family, this deletes the whole family’s calendar, with its members, events and forwarded emails. If you were invited, the family calendar stays.

All features are free, no credit card needed.
