Events from school and nursery emails, without retyping
Forward school emails to your family’s calendar address, and the events appear in Familienplaner shortly afterwards. An AI reads the email and adds the parents’ evening, the lantern festival or the piano recital to the calendar. You don’t connect your mailbox, and it works with any email provider.
How the events get from the email into the calendar
Create a calendar address
In the settings, under “Calendar addresses”, you create an email address of your own for your family. If you like, it can belong to one family member, such as “Emma nursery”.
Forward the email
Forward the email from school, nursery or a club to this address. Or set up a rule with your email provider that does it for you: “Set up forwarding” shows the steps for the providers in your country, more than 40 across Germany, Austria and Switzerland.
The AI reads the email
An AI reads the sender, subject and text and looks for the events in it: the day, the time, what it is about and what to bring.
The event is in the calendar
Shortly afterwards it is in the calendar for the whole family, marked with an envelope symbol in “Today” and in the week, with the email right beside it. You change whatever isn’t right, or remove it with one click.
What the AI adds from an email
An email becomes an event with a title, a day and, if the email gives one, a time. The place, the period or what to bring go into the description, for example “Bring a lantern”. If an email mentions several events, say a parents’ evening and a school fair, they go into the calendar one by one.
An event belongs to a person if the email names them or if the calendar address belongs to them. Otherwise it is listed under “Everyone”.
If the AI had to interpret the day or the time, the event says “Check the date” or “Check the time” until you choose “That’s right” or change the detail. If the email states a clear rule such as “every Tuesday at 5 pm”, the AI adds a series; if the rule is unclear, it becomes a single event with “Check the repetition”.
The inbox: each email and what came of it
The inbox lists your forwarded emails, each with what is in the calendar because of it. An event that doesn’t fit comes out again there with “Remove”. Just afterwards, “Undo” brings it back; later on, “Add again” does.
The email itself stays stored, and every account in your family can read it. That way the other parent can check exactly what the school wrote.
One address per child or club
You can create several calendar addresses, for example one for Emma’s nursery and one for Ben’s football club. If an address belongs to a family member, the events from its emails are theirs, unless the email names someone else in the family.
An address you don’t need at the moment can be paused in the settings. Whatever is sent to it in the meantime is not taken in by Familienplaner.
Any email provider, no access to your mailbox
Familienplaner only reads what you forward to the calendar address. You don’t connect your mailbox, and it doesn’t need the password of your email account.
To have school emails arrive by themselves, set up forwarding with your email provider, ideally with “Certain senders only”: then only emails from school, nursery and clubs go to the calendar, and the rest of your mail stays with you. Most providers allow this on their free plan; Yahoo, Proton, Drei and Infomaniak only on a paid plan, and AOL and Tuta not at all. With those, you forward emails by hand.
What Familienplaner doesn’t do here
- The AI can make mistakes. Compare important events with the email, which is shown with the event.
- Among other things, it doesn’t add what is already in the calendar, what someone removed earlier, or what is already over on the day the email is read.
- A forwarded change of date or cancellation doesn’t change the old event: a separate entry is added, and you remove the old event yourself.
- A few minutes can pass between forwarding and the entry. Familienplaner fetches forwarded emails about every ten minutes, and earlier when someone in the family opens it.
- Familienplaner doesn’t read the attachments of a forwarded email. If an event is only in a PDF or on a paper letter from school, attach the PDF or a photo in “New entry”.
- Familienplaner takes at most 20 entries from one email; any more are left out. Beyond three series from one email, or 40 events and 10 series a day per family, the AI doesn’t add the rest itself: it waits in the inbox under “Waiting for you” for your decision.
Frequently asked questions about events from emails
Do I have to connect my mailbox to Familienplaner?
No. You only forward the emails whose events should go into the calendar. Familienplaner doesn’t access your mailbox and doesn’t need the password for your email.
Which emails can I forward?
Emails with events in them, for example from school, nursery, kindergarten, a sports club or the music school, and invitations to children’s birthday parties too. If your nursery app also sends its news by email, forward those emails; whatever is only in the app doesn’t reach Familienplaner this way.
What happens if the school moves an event?
If you forward the email about the change, the AI adds the new day as a separate event. It doesn’t change or delete the old one: that stays until you remove it.
How long does it take for the event to appear in the calendar?
A few minutes. Familienplaner fetches forwarded emails about every ten minutes, and earlier when someone in the family opens it. In the inbox, you can check for new emails yourself with “Check now”. In a calendar subscription for Google, Apple or Outlook, an event from an email appears after a quarter of an hour at the earliest.
Does the AI also read the attachment of an email?
No. It reads the sender, subject and text of the forwarded email. Instead, you attach a PDF or a photo in “New entry”: the AI reads it like an email and adds the events, and the file is not stored.
Who can see the forwarded emails?
Every account in your family can read them in the inbox. For the analysis, the sender, subject and text, the names of your family members, your family’s language and, if you have stored them, your notes for the AI, your details about family members such as a class or club and the sender’s role go to a language model from Anthropic operated by Amazon Web Services in the EU or, if that is unavailable, to one from OpenAI in the EU. Both have committed not to store the content afterwards or use it for training. Vercel (USA) passes the request on, not necessarily within the EU. More: privacy policy, section 7.
