Repeat · Not during school holidays

Recurring events: add them once, skip the school holidays if you like

Recurring events go into Familienplaner once: football training every Monday, piano lessons every other week, the parents’ get-together on the first Wednesday of the month. Under “Repeat” you choose the rule, and where school holidays for all schools are known for your region, the series can leave those days out. That way your family calendar shows the regular dates without you typing them in every week.

How to set up a series

  1. Create the event

Create the event like any other, with a title, the first day and a time, for example via “New entry” and “Fill in yourself”.

  2. Choose “Repeat”

Under “Repeat” you find the rules that fit the chosen day: every day, “Every week”, “Every 2 weeks”, every month on the same date or the same weekday, such as the second Tuesday, and every year. With the weekly rules, “On these days” lets you add more weekdays.

  3. Set an end

Under “Ends” you leave the series open until you end it, or you choose “On a date” and the last event, for example before the summer holidays.

  4. Skip the school holidays

If there are school holidays for all schools in your region, “Not during school holidays” appears next to it. Switched on, the series pauses on those days, and the preview lists the next events as they will then take place.

Changing single events in a series

If a training session moves, you open just that event and change the day or time. When you save, the calendar asks what the change applies to: “Only this event”, “This and all following” or the whole series. The moved event then says that it was changed individually, and “Back to the series” puts it back in line.

If a session is cancelled, delete that one day with “Only this event”; the series stays. The event then shows which day is skipped, and “Add again” brings it back.

If the rule changes, say training moves to Wednesday after the autumn holidays, you change the repetition from that day on. Earlier events stay as they were.

Series from emails and from a sentence

If a forwarded email gives a clear rule such as “every Tuesday from 5 to 6.30 pm”, the AI adds one series instead of many single events. Where it had to interpret the interval, weekday or end, the series is marked “Check the repetition”. If the email says “except in the holidays”, the series skips the school holidays as far as the app knows them for your region; days the email names as cancelled are left out.

From one email the AI adds at most three series itself, at most ten a day per family, and only while you have fewer than 80 running series. Anything beyond that waits in the inbox under “Waiting for you” for your decision.

Anything ambiguous does not become a series: with “biweekly”, A and B weeks or “once a month” without a day, the AI adds only the next date, marked “Check the repetition”. Lists with one date per line stay single events. You then choose the rule yourself under “Repeat”.

In “New entry”, a sentence such as “every Tuesday 5 pm training” is enough: the AI fills in the repetition, and you see the rule in the summary before you add it.

Series in Google, Apple or Outlook Calendar

If you subscribe to the family calendar in another calendar app, the events of a series appear there one by one, from the previous month to the end of the 13th month ahead. So even a calendar that struggles with rules shows the training on the right days, with skipped holiday weeks and moved events.

The subscription is read-only there. A changed series appears in the other app the next time it fetches the subscription.

Tasks come back too

It is not just events: a task such as “Put the bins out” comes back daily, weekly, every two weeks or monthly and can take turns around the family. Unlike a recurring event, it only appears again once it has been ticked off.

What series cannot do

  • The AI can make mistakes. If it misreads the rule in an email, the whole series is wrong; compare the repetition and the first event with the email.
  • “Not during school holidays” is only available where holidays for all schools are known for your region. In many Swiss cantons, for example Bern, Fribourg or Valais, municipalities or types of school set the holidays; there the series carries on. Below the switch you can see until when the holidays are known. After that the series runs without a break until new holidays are in the data.
  • Holidays that apply only to some municipalities or types of school are not skipped. Nor are public holidays, unless the data lists them as a school-free day, like the Day of Prayer and Repentance in Bavaria; if training falls on a public holiday, take out that one event.
  • An event lasts one day, in a series too. If something regularly spans several days, such as every other weekend from Friday to Sunday, choose each of those days under “On these days”; that makes three events per weekend.
  • A family can run up to 100 active series; one that has ended does not count.
  • A series “every month on the 31st” is skipped in months without that day; there is a separate choice for the last day of the month.

Frequently asked questions about recurring events

Which repetitions are there?

Every day, every week on one or more weekdays, every two weeks, every month on the same date, on a particular weekday of the month from the first to the fourth or the last, on the last day of the month, and every year. Each series runs open-ended or until a date you choose.

Can I move a single event without changing the series?

Yes. Open the event, change the day or time and choose “Only this event” when you save. The other events in the series stay as they are, and the moved one says that it was changed individually.

How does “Not during school holidays” work?

Once you have chosen the country and your German or Austrian state or Swiss canton in the settings, Familienplaner uses the school holidays of that region, as far as its data has them. With the switch on, events in the series are skipped on holiday days for all schools; after the holidays the series carries on by itself. Below the switch you can see which region it uses and until when the holidays are known.

Does the AI spot series in forwarded emails?

Yes, if the email names the rule explicitly, for example “on Tuesdays” or “every first Monday of the month”. Then one entry with a repetition appears in the calendar instead of many single ones. An unclear rule gives a single event marked “Check the repetition”.

Do series also appear in Google or Apple Calendar?

Yes, through Familienplaner’s calendar subscription. There the events of a series appear one by one, up to the end of the 13th month ahead, with moved and cancelled ones just as they are in Familienplaner. You change the series only in Familienplaner.
